Ways Cloud Storage Is Used
The following Premium features use cloud storage.
Clock-In Photos
Home > Clock-In Mode > Clock In > Photo (Tap to Take a Photo)
On the Clock-In Mode home screen, tap “Clock In” to open the clock-in page. A user can take a required or optional photo when clocking in, and the photo is saved to the cloud for administrator review.
My Uploads
Home > Clock-In Mode > My Uploads > Upload File
On the Clock-In Mode home screen, tap “My Uploads,” then “Upload File.” Users can upload work photos, documents, and other attachments to the cloud for centralized storage and later review.
Leave Attachments
Home > Clock-In Mode > My Leave Requests / Leave > Leave Request Page > Attachment
On the Clock-In Mode home screen, tap “My Leave Requests / Leave,” then tap “Leave” near the bottom of the page. Employees can attach supporting documents, such as medical certificates or reimbursement receipts, to a leave request.
Announcement Attachments
Home > Admin Mode > Send Notification > Announcements > Add Announcement > Attachment
On the Admin Mode home screen, tap “Send Notification,” select “Announcements,” then tap “Add Announcement.” Administrators can attach policy documents, event posters, and other files for members to download.
Policy Attachments
Home > Admin Mode > Send Notification > Policies > Category > Add Policy > Attachment
On the Admin Mode home screen, tap “Send Notification,” select “Policies” and a category, then tap “Add Policy.” Administrators can attach leave policies, employee handbooks, reimbursement procedures, and other supporting files.
Goal Attachments
Home > Admin Mode > Send Notification > Goals > Add Goal > Attachment
On the Admin Mode home screen, tap “Send Notification,” select “Goals,” then tap “Add Goal.” Administrators can attach planning documents or other reference material to help employees understand a goal.
Shared Document Attachments
Home > Admin Mode > HR > Organization Shared Documents > Add Shared Document > Attachment
On the Admin Mode home screen, tap “HR,” select “Organization Shared Documents,” then tap “Add Shared Document.” Administrators can upload form templates, instructions, and other work files for employees to download.
How Much Can 1GB Store?
One gigabyte of cloud storage is approximately 1,000 MB, or about 1,024 MB when measured using the binary convention common on computers.
Suppose a company uses photo clock-ins only on five workdays each week. With five employees taking one photo at the start and end of each workday, the company generates about 50 clock-in photos per week.
At an average of 0.5 MB per photo, 1GB can hold more than 1,900 photos. At approximately 215 photos per month, this is about nine months of clock-in photos.
The actual number depends on each photo’s resolution, compression, and file size.
View Cloud Storage Usage
Home > Admin Mode > More > Cloud Storage Usage
On the Admin Mode home screen, tap “More” at the bottom, then select “Cloud Storage Usage.” Administrators with a storage plan can view current usage on this page.
Cloud Storage Is 90% Used
When an organization reaches 90% of its cloud storage limit, the home screen displays “Cloud storage is 90% used.” An administrator can open “Cloud Storage Usage” to review current usage, remove files, or upgrade the plan as needed.
Cloud Storage Is Full
When an organization reaches its cloud storage limit, the home screen displays “Cloud storage is full.” The organization creator cannot upload new files or photos until space becomes available. Open “Cloud Storage Usage” to review usage, delete unnecessary files, or upgrade the plan.
Restrictions When Cloud Storage Is Full
When storage is full, organization members cannot add any of the following items that use cloud storage:
- Announcements: New files cannot be attached when creating or editing an announcement.
- Policies: Attachment uploads are temporarily unavailable when creating or updating a policy.
- Goals: New attachments cannot be added to a new or existing goal.
- Organization shared documents: New shared document attachments cannot be uploaded.
- Employee uploads: Users cannot add files from the employee upload page.
- Leave requests: New supporting documents cannot be attached.
- Clock-in photos: Users cannot upload new photos when clocking in.
Previously uploaded files and photos remain stored. The organization creator can delete unnecessary files to free space or upgrade to a larger plan before uploading again.
Free Up Storage
Home > Admin Mode > More > Cloud Storage Usage > Free Up Storage
On the Admin Mode home screen, tap “More” at the bottom, select “Cloud Storage Usage,” then tap “Free Up Storage.” The organization creator can remove files from seven categories: announcements, policies, goals, organization shared documents, employee uploads, leave requests, and clock-in photos.
You can delete files older than one month, three months, six months, or one year, or delete all files in a category. Confirm that the files are no longer needed before continuing; deleted files cannot be recovered.
Cancel the Subscription
If the organization creator cancels the storage plan or switches to an ad-free-only plan, the following changes apply:
-
Existing files and photos:
- All uploaded files and photos remain stored and are not deleted.
- This protects the organization creator's data from being lost when the subscription changes.
-
File access restrictions:
- No one in the organization can view or access the files and photos, and no one can upload new files.
- Access is restored only after the creator subscribes to a cloud storage plan again.
Recommendation:
Before canceling or changing the plan, review the organization’s file-management needs and notify members in advance to avoid disrupting access to important information or workflows.
Notes
-
Cloud Storage Management
- Regularly remove unnecessary files to make efficient use of the available storage.
- If 1GB is insufficient, consider a larger storage plan if one is available.
-
Data Security
- Refer to SwipePoint’s published security and privacy information for details about file transfer and storage. Do not upload sensitive data that is not required for work.
-
Shared Storage
- All organizations created by the same account share 1GB of storage. File usage from those organizations counts toward the same total.

Q8: What should I know before using cloud storage?
A: Remove unnecessary files regularly and consider upgrading if 1GB is insufficient. Refer to SwipePoint’s published security and privacy information for details about file transfer and storage, and do not upload sensitive data that is not required for work. All organizations created by the same account share the 1GB total. Review file-management needs and notify members before canceling.
Q9: How much cloud storage is included with the free plan?
A: The free plan does not include cloud storage. Subscribe to a cloud storage plan to use features such as clock-in photos and file attachments.
Q10: Where does the “Cloud storage is 90% used” message appear?
A: When usage reaches 90%, the message appears on the home screen. Go to “Home” > “Admin Mode” > “More” > “Cloud Storage Usage” to view the details.
Q11: Where does the “Cloud storage is full” message appear?
